Preparing for the new school year

At the end of the school year, group 8 leaves the school and all students move a group. When is a good time to prepare this in the Ziber Team app (and Kwieb app)?

Until the end of the school year, the teacher wants to be able to send messages to the parents of the current groups and it is nice for the new parents if they can be invited to Kwieb before the school year starts.

Advice for year transition

It is advisable not to do the year transition yet if the current school year is still running. After you have converted the situation to the new school year, everything will be converted in terms of group structure and you will no longer be able to reach the parents of group 8 (the school leavers).

You can choose - also depending on the way in which you synchronize the data - whether you do this at the beginning of the holiday or at the end of the holiday.

Always coordinate this moment well within the team, so that this is clear to everyone.

Depending on the way in which you have linked the data from your LAS with Ziber, the solution is different;

If you are using a manual EDEXML

Reference date

When exporting the EDEXml from the LAS (Parnassys, Esis, etc) you can select a reference date. This way you can already export the EDEXml of the new year at the end of the school year. By default, August 1 is the date that the new school year starts.

Tip: Set the reference date to October 1 for new entrants

If you have an automatic link (ESIS or Parnassys)

In case you have an automatic link, you can start the synchronization yourself via the Ziber Team dashboard.

Parnassys

When you have prepared the school administration for the coming school year, press the synchronization button the moment you want the new group division to be active. You will then be given the choice of which school year you want to synchronize. If you then opt for the new/coming school year, the situation will be converted to the new school year from the next day.

ESIS

If you do a synchronization after August 1, the situation is automatically converted to the new school year. You cannot do this before August 1.

'Old' parents (group 8)

After uploading the EDEXml for the new school year, the parents of the school-leaving group 8 can still log in and only view the old data that was shared with them in Kwieb.

Entrants
